A shift work calendar: How Planday can help
Companies thrive when their staff members are productive and engaged. One major factor that contributes to staff productivity is consistency. Your staff will be more invested in your organization when they know what to expect — from when they’re working to who they’re working with.
When you use a work calendar to plan upcoming shifts, employees know when they’re working ahead of time. That allows them to plan their personal lives around their work schedule, and iron out any conflicts far in advance.
Planday makes it much simpler for managers to create a schedule days, weeks, and even months ahead of time — while taking into account staff preferences.
Employees can request availability
In our calendar, staff members can state which days they prefer to be on the job, and which days they prefer to have off. They can also add a comment to their availability preference, like “I like to have Wednesdays off because I play basketball then.”
This gives managers a complete overview of who likes to work when, so they can take as many requests into account as possible. However, as a manager, you can still schedule workers when they’re not available. Overall, this makes it easy for managers to create a shift calendar that accommodates employee’s personal lives as much as possible — making a more positive, personal work environment.
Staff can request vacationEmployees can also request time off through the work calendar. When they do that, managers can approve or deny the request. If the request is approved, then managers can’t schedule the staff member during that time.
Knowing whether they can take time off or not makes it much easier for employees to plan ahead and have more control over their personal schedule.
Find replacements and swap shifts
Our shift work calendar makes it easier for managers and staff to come up with a schedule that suits everyone. When staff can request when they work and when they take vacation, managers have an easier time creating a schedule that people stick to. But we understand that no matter how perfect a schedule is, there are bound to be last minute changes.
To make those last minute changes easier on managers, staff can find their own replacements or swap shifts with each other. Managers have final approval over shift swaps, and they can also decide who’s allowed to swap with each other. For example, a bartender can only swap shifts with a hostess if both of those employees are qualified to do both jobs.
This gives staff controlled autonomy and flexibility, which increases employee engagement and productivity.
How a shift worker calendar can impact company outcomes
Studies have found that consistency is one of the major contributors to employee engagement, so using a consistent calendar to schedule shift work is an important factor in keeping your staff happy and engaged. And while happy staff members might seem like a nice, but unnecessary business metric, keep in mind that staff engagement has a considerable impact on customer satisfaction. Engaged workers will help you build and grow your organization, while disengaged employees will actively resist it.
Happy staff members are passionate about their job, committed to their workplace, and interested in moving the company forward. In other words, they actively build your business. And while you might think that employee engagement would be a nice, but unnecessary, addition to your workplace, the fact is that disengaged employees are a danger to your company. Actively disengaged employees are checked out, but worse, they can act out their unhappiness and undermine your organization.
