No matter what your business does, all staff have to balance the time they can work and things like study, second jobs, childcare and other parts of life. As a manager, it can be tough to keep on top of the specific hours and days your staff can work. Our new feature is here to help.

Whether it’s seasonal workers at your theme park, healthcare workers who need to pick up kids from school, or students who need to balance lecture hours and time at work. In many workplaces, you’ll agree with your staff member certain days and times that they are always unavailable. But we know it can be tough to keep on top of the specific hours and days your staff can work. 

That’s why we’ve launched Contracted Availability – a feature that takes the guesswork out of the hours and days your company’s staff can work so you can make a schedule that works for your business.  

Contracted Availability Planday feature


You can now mark specific days – or time intervals – in which your staff can work. You don’t have to remember who can’t work Wednesdays, you’ll have all the information you need in Planday so your staff have the flexibility they want while you make sure
your shifts are always staffed correctly.

This can be used to show specific guidelines or to have as extra-contractual information that may influence the schedule.

What does this mean for your business?

Let’s say the staff member needs to come in later on Wednesdays and Thursdays and leave early Fridays. You don’t really mind when they work, you just want to know the job will get done.

Using this new feature you can set their account up to say that person should work:

  • Mondays and Tuesdays – 9 am to 5 pm
  • Wednesdays and Thursdays – 10 am to 6 pm
  • Fridays – 8:30 am to 4:30 pm.

You’ll just need to set the date from which it applies (like their hiring date) and then you’re good to go.

How do you set it up?

You can add or edit an employee’s Contracted availability from People > Employees. Click on the name of the employee, open up the quick edit window ✏️, and then click “Add”, under Contracted availability.
