1. Efficient scheduling

The schedule is at the heart of Planday and offers all the features you need to run your business more efficiently. You can create, publish and edit your staff schedule, and, once published, employees can immediately see it from their desktop or the app.

If you already have a schedule that works for you, you can save it as a template which you can then use as the foundation for your weekly schedule, and roll it out for weeks at a time, fine tuning when needed. This makes it possible to schedule shifts way in advance, without having to use clunky Excel.

Another great feature is the Planday mobile app calendar sync feature, where you can set your work schedule to be displayed alongside your personal schedule.


2. Easy staff management

Staff members can easily request time off through Planday. Once you approve a request, you will get a warning if you try to schedule an employee who has vacation booked (and your employee will be happy about this too!). Employees can also say which days and shifts they’re available to work, so you don’t have to waste time editing the schedule over and over again.

If your business has policies in place about overtime, or time needed between shifts, you can set up compliance warnings. These aren’t the kind where your screen goes red and bleeps annoyingly, but you will know when you’ve scheduled an employee for too many hours, or for shifts that are too close together, which helps you to remain compliant and your employees maintain a healthy work-life balance.

3. Accurate time tracking

Planday’s punch clock feature in our Apple and Android app allows employees to clock-in quickly and independently when a shift begins.

We know what you’re thinking – but fret not – you can set up location-specific clock-in rules, so employees can only clock-in if they’re in the right place. You can create custom location rules, so you decide if an employee can clock-in when they’re 400 feet away, or only if they’re connected to the company wifi. You can also create custom rules for how early workers are allowed to punch-in for their shift from the application, which gives you more control over payroll costs. Pretty awesome right?

Once a worker has punched in and out, you can approve the final hours that they worked, and you’ll get an overview of hours worked and the costs. After you’ve approved a timesheet, simply export it to your payroll provider and as a bonus you can even send a thank you message to your employees after a hectic week, through our messaging system.

We understand that work happens away from your desk which is why our app allows you to schedule shifts from anywhere. You can add, edit, or delete a shift quickly and if you need a shift covered at the last minute, you can see who is available, and assign them to a shift. Our app works on iPhone, Android, and iPad, so you can stay on top of things no matter where you are or which device you use.


5. Precise salary and revenue reporting

In the Schedule Report, you can see how many hours and shifts each member of staff has worked. You can also see start and end times for each shift, who was sick, and which type of shift each employee worked (such as bartender or dishwasher).

You can assign a monthly salary to your salaried staff, and it will calculated based on their contracted hours to give you an overview of your payroll costs in the schedule. You can also input your budget forecast and your actual daily revenue, comparing both to payroll to generate a salary percentage. These figures allow you to make informed decisions when staffing to maximise earnings without compromising on quality.

From the Reports section, you can input your weekly revenue and compare that to salary costs. You can then see the percentage of revenue you pay in salaries, allowing you to create a schedule that works best, to improve the financial health of your business.
