Planday, meet Claude & ChatGPT: bringing your rota into the conversation
Oct 20, 2026
You're halfway through planning next week, talking it through with Claude & ChatGPT, the busy Saturday, the new starter, the two people asking for Friday off. Then you reach the question that matters most: who's actually free?
Until now, answering that meant leaving the chat, opening Planday, finding the schedule and copying the answer back in. Your thinking lived in one place and your facts lived in another.
From today, you can skip that step. Planday is now available as a connector in Claude and a plugin for ChatGPT, so the questions you're already asking can be answered with your real schedule, your real team and your availability.
Why we built it
The way people work is changing. More and more decisions start in a conversation with an AI assistant: thinking through a problem, weighing options, drafting a plan. We expect that to become the normal way to get work done, and we want Planday to be part of it.
Every scheduling decision has two parts. One is context: who's reliable on a busy night, what the weekend is likely to bring, how far the budget can stretch. The other is data: who's working, who's on holiday, how many hours someone has already done, and which rules apply to them.
AI assistants are good with context. Without your data, though, even a capable assistant can only give generic advice, the kind that starts with "it depends on your team".
Planday already holds that data. So rather than asking you to come to another screen, we've brought Planday into the conversation you're already having. The aim is simple: faster decisions, made with your context.
What it looks like
You don't need to learn commands, IDs or special wording. Ask Claude & ChatGPT the way you'd ask a colleague:
"Who's working the bar on Saturday night?"
"How many hours is Anna scheduled for this week?"
"How much annual leave has Anna got left this year?"
"Which employee groups does the daily rest rule apply to?"
Claude and ChatGPT works out what to look up and reads the answer straight from your Planday. That covers employees and employee groups, skills, shifts and shift types, time and cost, absence, and contract rules.
Bring the outside world in
This is where it gets interesting. Where Claude & ChatGPT can combine your Planday data with everything else in the conversation: a document you've shared, information from the web, or other tools you've connected.
That means you can ask questions no single system could answer on its own:
"There's a big match nearby on Saturday. Who's on the bar, and do we look short-staffed?"
“Can you look up the weather around me and tell me if we have enough coverage of the dates that we have planned for?”
"David can't come in on Friday - can you give that shift to Anna?"
"We've got a private event on the 14th. Who in Front of House has the right skills and isn't already close to their hours?"
Planday provides the facts and you provide the context. Claude and ChatGPT bring the two together.
From question to draft rota
Claude and ChatGPT can also help you act on what it finds:
"Draft a shift for Saturday 9:00 to 17:00 in Front of House, assign it to James."
"David can't come in on Friday. Can you give that shift to Anna?"
The AI assistants match names to the right people and walk you through each change. New shifts start as drafts, and your team only sees them when you tell Claude and ChatGPT to publish.
You stay in charge
We built the connector so you can use it with confidence.
Claude and ChatGPT sees only what you can see. It connects with your own Planday login, and every request is checked against your permissions.
Nothing gets published behind your back. Drafts stay drafts until you say otherwise.
You decide which tools Claude and ChatGPT can use. For each one, choose whether Claude and ChatGPT can use it freely, should ask first, or can't use it at all.
A sensible starting point is to let Claude and ChatGPT read freely and ask before anything changes the schedule.
